Envirobead is a leading provider of sustainable home energy upgrades, delivering high-quality retrofit solutions under the SEAI One Stop Shop scheme. We work with homeowners, contractors, and retrofit partners to improve energy efficiency and deliver exceptional customer experiences.

Due to continued growth, we are expanding our administration team and are seeking organised, proactive Office Administrators to support our Project Managers and grant administration processes in both our Mallow and Dublin offices.

The Role

The Office Administrator will play a key role in supporting Project Managers, coordinating SEAI grant administration, and ensuring the smooth day-to-day running of the office.

This is a fast-paced position suited to someone who is highly organised, detail-focused, and comfortable managing multiple priorities.

Responsibilities

  • Project Support
  • Provide administrative support to Project Managers across retrofit projects
  • Assist in scheduling works and coordinating communication between clients, contractors, and internal teams
  • Prepare and maintain project documentation
  • Track project progress and update internal systems
  • SEAI Grant Administration
  • Support the processing of SEAI One Stop Shop grant applications
  • Ensure all documentation is complete, accurate, and compliant
  • Liaise with homeowners and internal teams to gather required paperwork
  • Maintain accurate records for audit and compliance purposes
  • Office Administration
  • Manage incoming calls and emails
  • Maintain filing systems (digital and physical)
  • Support general office organisation and coordination
  • Assist management with reporting and administrative tasks
  • Order office supplies and coordinate with service providers as required

Ideal Candidate Profile

We are looking for someone who:

  • Has 2+ years’ experience in an administrative role
  • Is highly organised with strong attention to detail
  • Has excellent communication skills (written and verbal)
  • Is confident using Microsoft Office (Excel, Word, Outlook)
  • Can manage multiple tasks in a structured and efficient manner
  • Works well as part of a team
  • Is comfortable working in a deadline-driven environment
  • Experience in construction, energy, grants administration, or compliance documentation is desirable but not essential.
